Study Tour Terms and Conditions

Potential participants will be required to agree to IFEAT’s terms and conditions prior to their acceptance on the Tour (see Terms and Conditions). These include IFEAT’s:

  • Qualifications and Restrictions on Participation
  • Cancellation Policy
  • Participation Agreement and Code of Conduct
  • Photo, Video and Audio Release
  • Use of Client Information
  • Liability Policy
  • Health and Fitness Requirement

And agree to follow all the mandated national and local government restrictions imposed at the time of the visit.

QUALIFICATIONS AND RESTRICTIONS ON PARTICIPATION

Participation is initially limited to personnel employed by IFEAT Member companies, with one participant per company in the first instance.

To qualify, the Member company must have fully paid its annual subscription (including the current year) at the time of application and at the date of the Tour.

Delegates must be at least 21 years of age. No accompanying persons are permitted. Places are allocated on a first come, first served basis, and registration is confirmed only upon receipt of full payment.

CANCELLATION POLICY

  1. If you are unable to attend the Study Tour, we welcome a substitute delegate from the same company at no extra cost, (unless expenditures have already been or will be incurred) and we have at least fourteen (14) days’ prior notice of the name of the proposed substitute. Please notify us of any substitutions by email at [email protected]  If a substitute cannot be found, however, this implies cancellation, which will be subject to the policy given below.
  2. Cancellation and a full refund will only be permitted under exceptional circumstances where another delegate has registered, fully paid for the Study Tour, and agrees to take the cancelled delegate’s place. Any expenses already incurred or committed specifically on behalf of the delegate in connection with the Study Tour will be deducted from the refund amount.
  3. It is recommended that the individual participant takes out travel insurance to cover the risk of not being able to participate because of sickness or for any other reason whatsoever.
  4. IFEAT will have no obligation to refund any amounts paid in respect of non-attendance.
  5. Should circumstances arise that could materially affect the hosting of the Study Tour, the organisers may cancel or postpone the Study Tour. If IFEAT cancels or postpones the Study Tour, registrants will be offered a full refund. In such event, neither the organisers (IFEAT) nor IFEAT Committee Members or representatives shall be liable for any ancillary costs incurred by delegates, including loss, liability, damage, or expense suffered or incurred by any person attending the IFEAT Study Tour. With regard to venue location or any other published particulars, organisers will have absolute discretion to change or amend these particulars and will provide notice at the time the changes are made. IFEAT will not be held liable for any compensation or resulting consequential loss incurred.

PARTICIPATION AGREEMENT AND CODE OF CONDUCT

Prior to being accepted on the Study Tour each potential participant must agree to the following conditions:

  1. Companies being visited often request that certain conditions are met during a visit. These can relate to health and safety measures (e.g., wearing of protective clothing, no use of cell/mobile phones, no smoking) or for confidentiality reasons (e.g., no photography or no entry to restricted areas) or any other restrictive policy expressed by the host company.
  2. Delegates must agree not to undertake activities that could reflect badly on IFEAT e.g., non-payment of individual expenses accrued with the tour agent or hotels, smoking in non-smoking hotel rooms, drunk and/or disorderly behaviour in a public place. This type of activity will not be tolerated and the consequences thereof are the sole responsibility of the offender. Any such behaviour may result in refusal to attend future IFEAT events.
  3. IFEAT discourages participants making their own alternative arrangements outside the Study Tour programme. However, if participants do make such arrangements, then:

(i) The Study Tour Administrator must be informed prior to undertaking these arrangements and

(ii) IFEAT cannot be responsible for any activities that a participant organises outside the programme. For example, if a participant is not back in time for the next Tour meeting, then the coach may not wait.

PHOTO, VIDEO AND AUDIO COPYRIGHT RELEASE

When registering for the Study Tour, delegates must agree to the following photo, video, and audio copyright release.

IFEAT and others will take photographs and videos during the duration of the Study Tour. Delegates must agree to:

  1. Give IFEAT permission to capture your image in video, photographic or audio format during the Study Tour.
  2. Acknowledge that IFEAT, in capturing your image and/or voice will become the copyright owner of the video/audio recording and that you assign all your rights, title and interests in and to the photo/video/audio recording to IFEAT.
  3. Understand that IFEAT may use the photo/video/audio recording on the IFEAT website and may also create a CD and/or DVD copies and in articles and a book on the Study Tour.
  4. Acknowledge that this copyright release is governed by UK law and is a legally binding agreement.
  5. Confirm that you have authority to enter into this agreement and that you will be bound by the terms of this agreement.

USE OF CLIENT INFORMATION

By booking a delegate place at an IFEAT event, whether virtual or otherwise, you authorise IFEAT to share your information with sponsors, organisers, and other delegates at the same event. These organisations are acting as data controllers in their own right and you should refer to their own privacy policies if you have any questions or concerns over their use of such information. IFEAT is not responsible for and shall not be liable in any way in respect of, such third parties’ use of personal data.

IFEAT LIABILITY

IFEAT shall not be liable for any personal injury, loss, damage or injury however caused or arising (not due to IFEAT’s negligence) from a defect in, failure in, or unsuitability for any purpose of any aspect of the IFEAT Study Tour, or other events arranged and/or hosted by IFEAT or by its agents, suppliers or contractors, and IFEAT shall not in any event be liable for any direct, indirect or consequential loss such as loss of profit whatsoever and howsoever caused. IFEAT does not exclude or limit in any way its liability to you where it would be unlawful to do so.

Host companies may ask you to sign an indemnity form. This is at the participants own risk and IFEAT will not be liable.

HEALTH AND FITNESS REQUIREMENT

By registering for the IFEAT Study Tour, I confirm that I am in good health and physically fit to participate in all aspects of the programme. I understand that the Study Tour may involve extensive travel, long days, walking on uneven terrain, climbing stairs, exposure to varying weather conditions, and visits to agricultural, industrial, and remote sites.

I acknowledge that it is my responsibility to assess my own physical fitness and medical suitability for participation and to seek medical advice where necessary prior to travel.

IFEAT reserves the right, at its sole discretion, to refuse, restrict, or terminate a delegate’s participation in the Study Tour if it reasonably determines that the delegate is unable to safely participate, poses a risk to themselves or others, or requires a level of care or assistance that cannot reasonably be provided during the Tour. In such circumstances, IFEAT shall not be liable for any costs, losses, or expenses incurred by the delegate as a result of such decision.

Delegates are responsible for ensuring they meet all health, medical, vaccination, entry, and travel requirements applicable to the Study Tour destination and for obtaining appropriate travel and medical insurance coverage.
